Administrative Assistant (Grants Coordinator)
Job description
Responsibilities and Duties:

Apply for grants and manage funding applications to support the Centre’s initiatives.

Develop and maintain documentation for grant applications and funding reports.

Assist with the daily operations of the Chinese Cultural Centre to ensure smooth and efficient functioning.

Plan, implement, and coordinate various programs and events at the Centre.

Perform general administrative duties, including reception tasks, handling phone calls, managing daily transactions, and addressing customer inquiries.

Open and close the Centre, handle general front desk duties, and provide operational support to improve daily functions as needed.

Maintain strong communication with program/course instructors and event personnel through phone, email, and in-person interactions.

Engage with potential individuals, organizations, and partners interested in collaborating with the Centre.

Support marketing efforts for the Centre’s programs and events by creating promotional materials such as posters and advertisements, and assisting with the management of social media channels.

Work closely with senior officers and team members to complete important tasks and projects, providing additional assistance as required.
Qualifications:

Excellent written and verbal communication skills in English; proficiency in Chinese (speaking, reading, and writing) is a plus.

Proficient in Microsoft Office Suite.

Capable of delivering high-quality customer service.

Strong problem-solving abilities with meticulous attention to detail.

Skilled in developing effective work plans, setting priorities, and meeting deadlines.

Experience in drafting, preparing, and managing grant applications and funding proposals, with a strong ability to track and report on grant outcomes.

Experience: Administrative support: 3 years+
Language: English and Chinese (Mandarin / Cantonese)
